How to Choose the Best Printer for Teachers

Compatibility with School and Personal Computers

Compatibility is a big concern with printers.  Affordable models like the Brother HL-L2300D don’t have Wi-Fi compatibility and instead need to be hooked up to a computer using a USB cable or other connective device.

Meanwhile, office models like the Officejet 8028 are compatible with a huge array of devices thanks to their wireless printing.  In addition to Wi-Fi connectivity, they can also print from the cloud and from mobile phones.

Models without Wi-Fi connectivity are good for home use or in classrooms where you are the only one using it.  They’re generally priced for a personal budget and you will need to take into account their proximity to your computer.  If you have a desktop, you’ll need space for the printer nearby.  With a laptop, that’s not such a concern.

Models with Wi-Fi connectivity are ideal for use in classrooms and offices.  If you have multiple students who need to print assignments, Wi-Fi compatibility allows them to send their documents remotely.

Many printers will also come with smartphone apps designed by the manufacturers.  Such apps allow you to manage the printer settings, existing printer jobs, and printer maintenance.  They help to increase efficiency and decrease overall material waste.

Home vs. Classroom

There are different needs when choosing a printer for your home or for the classroom.  Compact models like the Pixma TR150 are built for portability, so you can carry them on your daily commute, though most teachers choose to have separate at-home and classroom printers.

A home printer should generally be affordable and be able to handle your needs.  Whether that means printing in color, printing from your smartphone, or printing on non-standard paper, you can find an option to meet your specifications.

With a classroom printer, there are a few other factors to take into account.

One is the printing speed.  An ideal printer should be fast, especially if your students print a lot of multi-page documents.  Look for speeds of over 35 pages per minute.

Another consideration is the printing tray.  If you have dozens of people using the printer every day, a small print tray will need constant refilling.  High-capacity trays can hold much larger amounts of paper, so they can be used longer without needing refilling.

As mentioned, it’s also ideal for classroom printers to have Wi-Fi compatibility.  This allows students and other teachers to print remotely.

Laser vs. Inkjet

The two main types of printers are laser and inkjet.  Printers like the Brother Inkjet use ink for their pages.  Printers like the HP LaserJet use laser printing, which doesn’t include ink cartridges.

Inkjet printers print by spraying tiny droplets of ink onto the paper.  These models tend to be more affordable than laser printers and can print crisp text documents and high-quality photographic images.

Inkjets are preferred for photo printing because they can mix colors in ways that laser models can’t.  However, buying replacement ink cartridges can be pricey which high-capacity ink cartridges popular.

Laser printers use lasers to melt toner onto the paper.  Though they’re more costly initially, they’re also cheaper to maintain.  They don’t have the high costs of replacement cartridges, and they’re capable of printing faster.

A laser printer is often recommended for high-volume loads.  If you’re looking for an option for use by students in the classroom, laser printers require less upkeep.  If your students need precise color printing, though, an inkjet might be a better bet.  That’s an especially important note for art teachers.

Student vs. Teacher Use

If students are going to be using the printer frequently, a fast model like the Monochrome HL-L6200DW is ideal.  Printers like this have high tray volume capacities, so they don’t need to be refilled often.  They also print dozens of pages per minute.

It’s also worth considering what the students will be using the printer for.  Do they need to print full-color graphics or photos for hands-on projects?  Will the printer be used to create presentation content?  Or will students mostly be using it to print black-and-white text assignments like reports?

This will impact whether you get a black-and-white or color printer.

If you’re going to be using it yourself, there are other considerations.  Will you be making copies of worksheets, lessons, and assignments?  If so, you might want a printer that doubles as a scanner and copier.

You can also take into consideration the amount of use the printer will get.  If you’re just using it to print lesson plans and the occasional reminder, you don’t need much.  But if you’re printing hundreds of sheets for your students per day, it’s best to get a high-quality model.

Cost of Ink and Supplies

Whether you have an inkjet or laser printer, you’ll need to purchase supplies.  Inkjets use ink cartridges while laser models use toner.  The cheapest printers tend to run through supplies quickly, which means you’re constantly needing to buy replacements.  They’re more expensive in the long run.

A pricier printer will usually be outfitted with features like high-volume ink cartridges, an ink tank, or extra toner.  These features help conserve supplies so you don’t need to purchase expensive replacements as often.

Ink tends to be much more expensive than toner.  Because of this, inkjet printers have a higher cost per page.  If you don’t need the enhanced coloration and precision, a laser printer is a better choice.

Many printers come with manufacturer warranties on their hardware, so you don’t need to pay for replacement parts if there’s a breakdown.

If you choose a model that uses Amazon Dash Replenishment, you can save 10 percent on replacement ink cartridges.  Printers like the Canon Pixma have sensors that detect low ink.  If you’re signed up for the Dash program, you can have replacements automatically shipped before you run out.

Wrapping Up

The best printer for teachers is whichever printer meets both your personal and classroom needs.

Our top pick overall is the Brother Monochrome.  It’s an affordable model that will serve you for multiple years.  The product has duplex printing and is eligible for Amazon Dash Replenishment, which means you can have replacement ink automatically shipped to you when the printer runs low.

As long as you take into account your budget, the amount of use the printer will have, what it will be used for, and whether you need color ink, you can find an ideal model.
